The first step of the Aesthetics lead qualifier template on a phone

The Aesthetics lead qualifier is a PathwAI flow template for aesthetics practices and med spas that run paid or organic campaigns and want each lead sorted before the front desk calls. It asks what the person wants to change, checks whether they are a fit, and sends them either to booking or to a follow-up path. It is a starting point: every question, branch and ending can be edited in the PathwAI builder.

Who it is for

  • Aesthetics practices and med spas that get leads from ads, social or their website.
  • Teams that today collect a name and phone number and sort leads by hand on the phone.
  • Practices that want the person who is ready to book to book in the same session, and everyone else to get a sensible next step.

What’s included

The template has three parts.

1. Intent and goals

Opening questions ask which area or concern the person is interested in and what result they are hoping for. Picture or multiple choice questions keep this quick on a phone. These answers decide which treatment path the person sees next, so the same flow can serve several services.

2. Fit and constraints screening

A short set of questions checks practical fit: timing, budget expectations, whether they have had a treatment before, and anything your practice treats as a reason to talk first instead of booking straight away. The questions are a starting set. Your team decides which ones to keep and what counts as a fit, and should review the wording against your own clinical and consent policies.

3. Routing to booking or follow-up

Branching on the canvas sends each person down one of two paths:

  • Ready to book: contact details, then an appointment step. PathwAI’s Booking block embeds a Cal.com calendar, and the booking is saved with the submission.
  • Not ready yet: a follow-up ending that thanks the person and tells them what happens next, such as a call from the practice.

Each route is a visible edge on the canvas, so anyone on the team can see why a lead went where it did.

What it collects

  • The treatment area or concern and the goal the person described.
  • Their answers to the fit questions.
  • Contact details: name, email and phone.
  • For people who book, the booking record.

Every answer is saved on the submission, where your team can read it in PathwAI or send it on with an ending webhook.

How to adapt it

  1. Open the template from the templates page in the PathwAI builder.
  2. Replace the treatment options with the services your practice offers.
  3. Set the fit rules that decide who goes to booking and who goes to follow-up.
  4. Connect your Cal.com calendar on the booking step.
  5. Apply your brand in the design system, preview the flow, and publish.

The template does not make clinical decisions. It sorts leads by the rules your team sets, and a clinician still assesses every patient before treatment.
